  • Payment Information: Billing details processed securely by our payment processor (we do not store credit card numbers)

  • Feedback Configuration: Settings for your inboxes, widgets, and integrations

When you use the Service, we automatically collect:

  • Usage Data: Pages visited, features used, and actions taken within the Service

While we strive to protect your information, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as necessary to provide the Service and fulfill the purposes described in this Privacy Policy:

  • Feedback Data: Retained according to your plan's data retention settings
  • Usage Logs: Retained for up to 90 days for security and analytics
  • Backup Data: Retained for up to 30 days after deletion

When we transfer data from the European Economic Area (EEA) or United Kingdom, we rely on Standard Contractual Clauses approved by the European Commission and other appropriate safeguards to ensure adequate protection of your data.

10. Healthcare Data (HIPAA)

If you are a covered entity or business associate under HIPAA and wish to use Pollenate to collect Protected Health Information (PHI), please contact us to execute a Business Associate Agreement (BAA) before using the Service for such purposes.

Enterprise plans include HIPAA-compliant features such as enhanced encryption, audit logging, and BAA availability.

11. Children's Privacy

The Service is not intended for individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that a child under 16 has provided us with personal information, we will take steps to delete such information promptly.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by:

  • Posting the updated Privacy Policy on the Service
